Robots.txt, noindex, and canonical

These three settings are often lumped together under the term “removing a page from Google.” However, robots.txt, noindex, and canonical address different issues. Confusing them can make it harder to understand the instructions or direct attention to the wrong URL. Below, you’ll find a method for making decisions and describing tasks that helps website owners communicate with contractors without having to guess at technical solutions.

Start with the goal, not the tag name

Before requesting a change, ask what should happen to a specific page. Should the crawler limit how often it crawls the page? Should the content not appear in search results? Or should you specify a preferred version of similar pages? These are three distinct goals.

Describe the groups of addresses and the exceptions. The shopping cart, sorting options, and the current guide are different cases. They should not be assigned the same rule simply because someone deemed their traffic to be low. The rule should be based on the page’s role within the website.

Include a sample URL and the expected result from both the user’s and the search engine’s perspectives in your report. Only then will a specialist select the appropriate mechanism. This ensures that the developer isn’t simply instructed to implement a tag without knowing why it should be added or how to verify its correctness. Many misunderstandings arise precisely when a problem description is turned into an unfounded implementation instruction.

What does robots.txt do?

Robots.txt is used to specify rules for how web crawlers access resources. It is not a way to protect private documents from human access. If content requires protection, appropriate access controls are needed, not just an entry in a public file.

Before implementing a broad block, check which resources and pages the rule will affect. A pattern that is too general may affect categories you need or elements necessary for the page to display correctly. Test examples that do and do not match the rule.

In the store, it’s important to distinguish between parameters used solely for navigation and approved landing pages. Do not copy pre-made rules from another site without analyzing the URL structure. A parameter with a similar notation may serve a different function. The site owner should be aware of the intended scope of the restriction and its implications for previously known URLs before the change goes live.

When to Use the "noindex" Directive

"Noindex" tells a search engine that supports this directive that the content should not be included in its index. Google describes how to include it in a page tag or response header. It is important that the robot be able to read the directive.

If you also block the URL in robots.txt, the search engine may not recognize the "noindex" tag. That's why the order and combination of these rules require careful planning. Don't assume that adding both settings automatically provides more effective protection against visibility.

A practical check involves verifying the page’s response and the location where the instruction actually appears. For non-HTML files, you may need to check the header. It is not enough to simply confirm that the appropriate option has been selected in the control panel. The expected behavior must be verified at the actual URL after saving, and any delays in updating the information in search engine reports must be taken into account.

Why is a canonical version specified?

"Canonical" refers to the preferred version of similar or duplicate content. It is not a universal instruction to remove any page. If two URLs serve different purposes and present different content, you must first assess whether merging them is justified at all.

Check for consistency in links, the sitemap, and redirects. If any element points to a different address, the developer should explain why. A correctly written tag alone is not enough if it leads to an outdated page or another redirect.

One example worth noting is product URLs accessible through different category paths. The team determines the preferred version and organizes the signals around it. However, you should not automatically redirect all variants to the store’s homepage. The decision must reflect the actual relationship between the content and the expectations of the user who arrives at a given URL from a search engine or an external link.

A Model Example: Three Types of Pages in an Online Store

The store analyzes the shopping cart, category sorting, and two versions of the same product's URL. First, it determines the role of each one. It does not attempt to solve everything with a single global option in the SEO panel, because the expected results vary.

It establishes visibility and access policies for the parties involved in the purchasing process. For sorting, it analyzes how combinations are created and whether they need to be retrieved. For each product, it selects the preferred URL and checks how internal links lead to it. Only then does it convert these decisions into a configuration.

This is a best practice, not a ready-made rule to be copied. The specific solution depends on the platform and the state of the URLs. The team should also test both the URLs already present in the search results and the new ones that are just being created. Making this distinction helps avoid the false promise that a single change will immediately organize the entire history of the website and all sources of links leading to it.

How to Accept a Change Without Knowing the Code

Request a table listing sample addresses, their purpose, the rule applied, and the test result. The contractor should also provide a list of addresses that are not affected by the change. This will allow you to assess whether the block is broader than the agreed-upon scope.

Check the important categories and products after implementation. You don’t need to interpret every server header yourself, but you can require clear confirmation: the page is accessible, contains the expected instructions, and indicates the correct version. Exceptions should be explicitly listed.

For major changes, determine whether the rule can be rolled back and who is responsible for responding. Don’t leave testing solely for a later report. If a production category was accidentally disabled, a quick fix is needed—don’t wait for the next meeting. Acceptance testing is intended to safeguard the operational service and offering, so it should take place immediately after the configuration goes live.

How to Monitor the Effects of Settings

Record the date of the change, the affected groups, and the status of the selected sample. Later, compare the current technical behavior with the information in the search tools. Discrepancies may be due to processing delays, so do not revert a correct change simply because of an outdated message.

Focus primarily on the key aspects and unintended consequences. A global decline in the number of indexed addresses may be in line with the objective or may indicate an error. It is the composition of the group—not the size of the number itself—that determines the outcome. The report should explain which addresses are disappearing and why.

Whenever possible, separate the configuration process from any concurrent revisions to content or offerings. If you’re making changes to several areas at once, specify the limits of interpretation. Proper technical signals help maintain order on the website, but they do not, on their own, guarantee an increase in traffic or improved sales. Their effectiveness must be evaluated in the context of the established goal.

Create a simple policy for your team

Set rules for categories, products, filters, the internal search engine, and documents. Specify who approves exceptions and when you will reassess the rules. This will prevent a new employee from copying a random setting from a page that looks similar.

Prepare a test set to use after changing a theme or SEO plugin. It should include representative URLs and the expected behavior. It’s also important to document the rationale behind your decisions; without it, a correct configuration might be flagged as an error during the next audit.

When meeting with the developer, bring examples and questions—not a list of predefined tags. The response should lead from the goal to the solution and then to testing. This approach to collaboration clarifies responsibilities and reduces the risk of conflicting configurations in the website under development.

A good exercise is to walk through the entire process for a single URL. Note whether it’s intended to assist a new customer, whether its content is distinct, and who should be able to find it. Next, ask a specialist to justify the chosen mechanism. If you can’t agree on the initial questions, implementation should wait until a decision is made. This ensures that technical configurations support a well-thought-out content and publishing strategy, rather than replacing a discussion about the website’s role within the company.
